π How to Create a Job in Client Hub
Choose from manual setup, time-saving templates, AI-powered Magic Jobs, or recurring Daily Jobs.
Jobs help you track recurring or one-time work across your client base. You can build a job manually, generate one using a template, or let Client Hubβs AI create a task list in seconds.
β 3 Ways to Create a Job
From the Internal Workspace tab of a client, navigate to the Jobs panel and click one of the three buttons at the top right:
- β Blue Plus Button β Create a new job from scratch
- π Load from Templates Icon β Use a saved firm or Client Hub template
- β¨ Magic Workflow Icon β Generate a job using AI by describing your workflow
β Option 1: Create a Job Manually
- Select the client from the My Client List in the left navigation.
Go to the Internal Workspace tab.
In the Jobs panel, click the β Add button.
In the details panel:
- Enter a Job Title (required)
- Add an optional description
- Assign a staff member
- Set the Scheduled Start Date and Due Date
- (Optional) Enable Repeat and define recurring rules via Edit Rules
Add your task list:
- Click to enter each task
- Click into each one to add rich instructions (text, links, lists, videos, etc.)
Jobs are auto-saved as you work.
π Option 2: Create from a Job Template
- Click the π Load from Templates icon.
- Choose from your Firm Templates or Client Hub Templates.
- Click Create Job on the selected template.
- Review and adjust tasks as needed to fit your clientβs process.
β¨ Option 3: Use Magic Workflow (AI-Powered Job Creation)
Click the β¨ Magic Workflow icon.
Enter a description of the job you want to create.
- Example: βHow to process year-end 1099s using QuickBooks Online.β
- Client Hub will auto-generate a job with task suggestions.
- Review the tasks and edit them as needed before saving the job.
π Recurring Jobs
Recurring jobs allow you to set jobs that repeat on a schedule without manually recreating them.
- Toggle the Repeat setting ON.
- Click Edit Rules to define frequency and recurrence pattern.
- When the job is marked Completed, the next occurrence is auto-generated using the same task structure.
You can choose between Weekly or Monthly recurrence:
Example: Weekly Recurrence
Set jobs to repeat every N weeks on a chosen day.
Example: Monthly Recurrence
Set jobs to repeat every N months on a chosen date.
You can also adjust due dates that fall on weekends.
π Daily Jobs
Daily Jobs allow you to create recurring work that repeats every day without needing to re-enter tasks.
- Create a job using any of the three options above.
- Toggle the Repeat setting ON.
- In Edit Rules, select Daily as the recurrence frequency.
- Define any additional rules, such as:
- Start and end dates
- Whether weekends are included
- Specific time of day to schedule the job
- Save your settings.
Important: Unlike other recurring jobs, which reset when the job is marked Completed, Daily Jobs automatically reset every Saturday. This ensures a fresh daily cycle each week, even if the prior job hasnβt been marked complete.
