✨ Using Autopilot to Publish Client Tasks Automatically
Let Client Hub send task requests to your clients—right on schedule.
The Autopilot feature in Jobs allows Client Hub to automatically publish Client Tasks to the client’s workspace—before the job begins. It’s a simple, powerful way to ensure your clients receive their tasks without manual follow-up.
Before setting up Autopilot, think about the recurring work for which you need information from your clients—such as monthly bookkeeping, payroll, or sales-tax filing. Create a recurring Job for that work first, and then use Autopilot within the Job to automatically send the necessary Client Tasks each time the Job repeats. This ensures everything stays organized, consistent, and on schedule.
✅ How to Add Client Tasks and Enable Autopilot
1. Open the Job
Navigate to an existing Job from the client’s Internal Workspace tab.
2. Add Client Tasks
In the task list, click + Client Task to create a draft task for your client.
3. Reorder Tasks (If Needed)
Drag and drop to place Client Tasks above any internal tasks in the job list.
Only Client Tasks listed before internal tasks will be eligible for Autopilot.
4. Enable Autopilot
Once at least one eligible Client Task is present, the Autopilot toggle will appear.
Click the Autopilot switch to turn it ON.
Select how many days before the Job’s start date the tasks should be automatically published to the client.
You can also set who the tasks are sent from. Use the From dropdown to choose the sender for Client Tasks on Autopilot—ensuring all automated requests come from the right team member.
Client Tasks that appear after your first internal tasks will not run on Autopilot but can be published manually with a single click.
🔁 What Happens Next
Client Hub will automatically publish the Client Tasks on the scheduled day.
When the current Job is marked Complete, the next Job in the series will be created—along with a fresh set of Client Tasks ready for the next Autopilot cycle.
Any open Client Tasks from the completed Job will remain in the Client Workspace until responded to or closed.
💡 Pro Tips
#1. Use Autopilot to stay ahead of routine requests like monthly financials, payroll inputs, or bank statements—no reminders necessary.
#2. When setting up recurring Client Tasks on Autopilot, use general language that won’t need to be updated each cycle—for example, “Upload your receipts” instead of “Upload your receipts for September.” This saves time and keeps your reminders consistent from month to month.
#3. For recurring work, always start by setting up a recurring Job that reflects the cycle of the work itself (e.g., weekly payroll, monthly bookkeeping). Then, activate Autopilot within that Job to ensure Client Tasks are sent automatically for each new period—hands-free and perfectly timed.
