Understanding User Roles in Client Hub

Client Hub offers four distinct user roles to help manage access and permissions across your firm and client workspaces. Here’s a quick overview of what each role can do:

1. Admin

Best for: Firm admins or anyone who needs full access.

Permissions:

  • Full access to all client workspaces and firm settings
  • Can add, edit, and remove firm users
  • Can add, archive, and manage clients
  • Can view and manage all jobs and team members in the Jobs Dashboard
  • Access to Setup & Settings
  • Can delete jobs

2. Manager (Advanced Staff Role)

Best for: Senior team members who need visibility across the team but not full admin control.

Permissions:

All the same permissions as a staff user with the following:

  • Can view all team members and job assignments in the Jobs Dashboard (same filter options as Admin)
  • Optional setting:
    • Access to Setup & Settings
    • Ability to delete jobs (this can be enabled or disabled by an Admin)
    • Ability to view time entries from others
    • Ability to edit start and end dates for Jobs

Note: Managers cannot manage firm users or firm billing settings.


3. Staff

Best for: Team members focused on their own clients and work.

Permissions:

  • Can access only the client workspaces they’ve been assigned to
  • Can view and manage jobs and tasks assigned to them in the Jobs Dashboard
  • Cannot access Setup & Settings or see other team members' jobs (unless added as collaborators)
  • Optional setting:
    • Access to Setup & Settings
    • Ability to delete jobs (this can be enabled or disabled by an Admin)
    • Ability to view time entries from others
    • Ability to edit start and end dates for Jobs

4. Client User

Best for: Your clients.

Permissions:

  • Can access their own company workspace
  • Can view and respond to jobs, tasks, messages, and file requests
  • Cannot access firm-level or staff-level tools

  • Use Practice Admin for full control.
  • Use Manager for senior staff who need broad visibility without admin-level power.
  • Use Practice Staff for focused client work.
  • Use Client User for your clients and collaborators.
