📌Managing Uncategorized Transactions in Client Hub with Xero

This checklist explains how to manage Spend Money transactions synced from Xero → Client Hub, collect client information, and ensure the client’s books stay accurate.


🌀 Step 1 — Understand How Transactions Sync

When you connect Xero, Client Hub automatically syncs the most recent 90 days of Spend Money transactions posted to mapped accounts.

After the initial sync, new Spend Money transactions posted to mapped accounts in Xero automatically sync to Client Hub.

A Client Task is automatically created in Client Hub for each synced transaction.Âą

You can also run a manual refresh at any time by selecting … > Xero Integration > Check for New Transactions in Client Hub.

Attachments included with the transaction in Client Hub sync to Xero when the transaction is updated.


👩‍💻 Step 2 — Client Reviews and Responds

Clients log into Client Hub and open their Spend Money tasks.

If account selection is enabled in your uncategorized workflow settings, clients will be prompted to choose an account before submitting their response. If account selection is disabled, clients can provide comments and attachments without selecting an account.

Clients can click the transaction row to open the side panel to view full transaction details, add comments, and upload attachments if needed.

Once finished, the client clicks Submit to complete their review.


🧾 Step 3 — Accountant Reviews and Finalizes

Log into Client Hub and review the updated tasks.

Confirm that the client has provided sufficient information and attachments.

Use the Comments section in the side panel to communicate with the client. Type a message and click the blue arrow to send.

Use the action buttons as needed:

  • Re-open → sends the task back to the client for additional information.
  • Go to Xero → opens the linked transaction directly in Xero.
  • Close → marks the task complete in Client Hub.

When a transaction is finalized, updates sync between Client Hub and Xero, ensuring both systems remain aligned.Âą
