⚙️ Manage Practice

The Manage Practice section allows firm owners and admins to manage subscription details, Firm Users, role permissions, and Client User permissions — all from a single dashboard.


🧭 Navigation:

Go to Settings > Manage Practice to access this section.


💳 Subscription

The Subscription area displays your current plan and provides access to billing details.

  • Current Plan — Displays your active subscription plan (for example, Practice Manager Plus).
  • Manage Payments — Opens the Billing Portal, where you can add or update payment methods, view past invoices, or download receipts.
  • Change your plan — Allows admins to upgrade, downgrade, or switch billing frequency (monthly or annual).

👥 Manage Firm Users

The Manage Firm Users area lists all members of your firm, including their name, email address, assigned role, and 2FA (two-factor authentication) status.

Roles

Each Firm User can be assigned one of the following roles:

  • Subscriber — The account owner and billing contact for the firm.
  • Admin — Has full access to all firm and client management features, including user permissions, billing, and setup.
  • Manager — Can oversee Client Workspaces and manage jobs, but cannot access billing details or firm-wide settings.
  • Staff — Has access to assigned clients and jobs only, with limited permissions as defined in the Manage Roles Permissions section.

Admins can update a Firm User’s role at any time by selecting a new role from the Role dropdown menu next to their name.

Additional available actions:

  • Add User — Add a new Firm User to your account.
  • Remove — Remove a Firm User from the firm.
  • Manage Assignments — Assign Firm Users to specific Client Workspaces.

🔐 Manage Roles Permissions

The Manage Roles Permissions section defines what actions are available for each role within the firm.

Actions

Each permission can be toggled on or off for Manager and Staff roles.

Action Description
Can access Setup & Settings Grants access to firm setup and configuration settings.
Can edit start and end dates for Jobs Allows editing of job scheduling dates.
Can view time entries from others Permits viewing of time entries logged by other team members.
Can delete Jobs Enables deletion of existing jobs from the firm’s workspace.

Admins always retain full permissions and cannot have these toggled off.


🧾 Manage Client Permissions

The Manage Client Permissions area controls what actions Client Users can perform in their Client Portal.

Client Permissions

Admins can toggle whether Client Users are allowed to create folders within their File Manager.

  • Allow clients to create folders — When enabled, Client Users can add their own folders in File Manager to organize documents.

💡 Note: Even if this setting is turned off, Client Users can still upload an entire folder from their computer. The uploaded folder and its contents will appear as a single upload within the File Manager.

The Manage Practice section provides firm-wide administrative controls for:

  • Managing subscription and billing
  • Adding or removing Firm Users
  • Assigning Firm Users to Client Workspaces
  • Defining team roles and access
  • Setting Client User permissions

These settings ensure that your firm’s operations remain secure, efficient, and aligned with your internal workflow.
