đź“‚ How to Reopen Client Tasks (and What Happens to Uploaded Files)

When a client uploads a file to a Client Task, that file remains attached to the task — as long as the task is reopened and commented on, rather than edited.

Below is exactly how files behave and what to watch for when working with reopened tasks.

âś… What stays attached

When a Client User uploads a file:

  • Uploaded files remain visible on the task with their name and a direct link.
  • Reopening the task does not remove any files.
  • New files uploaded later appear alongside the originals — nothing is overwritten or replaced.
  • Files remain accessible whether or not a folder was chosen during upload.

⚠️ Important: Editing a reopened Client Task removes files

If a Firm User edits a Client Task after it has been reopened, any files the client previously uploaded are removed from the task.

  • This applies whether the task is edited from the Job or directly inside the Client Task.
  • Comments and other task history remain intact, but all attachments are cleared.
  1. Reopen the Client Task
  2. Add a comment explaining what the client still needs to upload
  3. The client receives a notification, sees your comment, and uploads the missing file(s) — without affecting any files already attached

This keeps everything within the same task and preserves the full upload history.

📝 What happens to text responses

  • For most task types, reopening clears the client’s previous text response so they can provide a new one.
  • For Open Text tasks, Client Hub automatically copies the original response into a comment before clearing the field, preserving the message while prompting the client for updated information.

đź—‘ File deletion rules

  • Clients can delete their own uploaded files within 24 hours of submitting them.
  • After 24 hours, only a User can delete files.

đź’ˇ Best Practices

  • Request one file per Client Task whenever possible to keep things clear for clients.
  • If you need additional files, add a comment instead of editing the task — this preserves all uploaded documents.
  • As an optional workflow, some firms prefer creating separate Client Tasks when they need multiple individual documents (e.g., “Please upload April bank statement,” “Please upload May bank statement”), while others group items if that fits their clients’ needs.
