🧾 How to Create a Client Task
Client Tasks are a simple and effective way to request information, send reminders, or keep your clients on track—so you can get your work done faster and with fewer follow-ups.
When writing a Client Task, keep your message short, specific, and focused on the exact response you’re looking for.
🛠Steps to Create a Client Task
1. Go to the Client Workspace
From the left-hand menu, click Clients & Workspaces, then select the client workspace you want to work in.
2. Open the Client Tasks section
Inside the selected workspace, locate the Client Tasks section in the left-hand column.
3. Click New Client Task
Scroll to the bottom of the center panel and click the New Client Task button.
This will open the Client Task editor.
4. Write your message
In the text box, enter a clear and concise message explaining exactly what you need from the client.
Be specific about:
- What you’re requesting
- Any important details or formatting requirements
- When the response is needed
Clear instructions reduce confusion and speed up responses.
5. [Optional] Attach files
If needed, click Select Files or drag and drop documents to include with your task.
Attachments are helpful when:
- You’re providing a template
- You need a document reviewed
- You’re giving reference material
6. Choose a task type
Under Client Response Requested, select the response type that fits your request:
- To Do
- Yes/No
- File
- Open Text
- Accept/Decline
Choose the option that matches the exact action you want the client to take.
7. [Optional] Choose a destination folder
If you selected File as the response type, you can choose the folder where uploaded documents should be saved.
This keeps files organized automatically inside the client workspace.
8. [Optional] Set Auto Remind
You can enable automatic reminders if the task is not completed.
When Auto Remind is turned on:
- The task will display a due date
- Daily reminders will begin after the selected number of days
This helps reduce manual follow-ups.
9. Choose who gets notified
In the Task Settings panel on the right, you’ll see a Notify to section listing all users in that client workspace.
By default, all users are selected. When you click Send and Notify, everyone selected will receive a notification about the new Client Task.
If you only want specific users to receive the notification, simply uncheck the names you don’t want included. You can notify one user, multiple users, or leave all selected.
Client Workspaces are collaborative. Even if a Client User is not selected in the Notify to section, they will still see the Client Task when they log into their portal.
The Notify to setting controls who receives the notification—not who can view the task.
10. Preview your request
A preview appears in the right-hand panel so you can review your message before sending.
Double-check:
- Clarity
- Attachments
- Task type
- Selected recipients
11. Send the Client Task
Click Send and Notify to deliver the task and notify the selected users.
Your Client Task is now active and visible in the client’s portal.
💡 Best Practices for Client Tasks
Request One Item Per Client Task
For best results, request only one item or one action per Client Task.
Keeping requests separate helps prevent confusion if a client:
- Uploads only part of what was requested
- Provides the wrong file or information
- Responds incorrectly to a multi-part request
When each item has its own Client Task, it’s easier for clients to respond correctly—and easier for you to track what’s still outstanding.
Reopen Instead of Editing
If a Client Task needs clarification or the client submitted incorrect or incomplete information, reopen the existing Client Task instead of editing it.
Add a comment explaining exactly what is still needed or what needs to be corrected. This preserves the full history and ensures files remain properly connected to the original task.
