๐Ÿ”„ Troubleshooting Xero Sync with Client Hub

After connecting Xero to Client Hub, transactions from your selected Xero account should sync into the appropriate Client Workspace. If you're not seeing expected transactions, this guide will walk you through common troubleshooting steps and how to test the connection.


๐Ÿ”Œ Step 1: Check Your Connection Status

Before troubleshooting sync issues, confirm your Xero connection is active:

  • Go to Setup & Settings > Xero integration
  • Look for the green checkmark icon next to your Xero Company name โ€” this confirms the connection is healthy
  • If the connection status does not show a green checkmark, click Refresh in the Actions column to re-establish the connection
  • If prompted, sign back into Xero to complete the reconnection

If there is a problem with the connection, a plain-language error message will appear explaining what went wrong and what to do next.


๐Ÿ” Step 2: Manually Sync Xero Transactions

Client Hub automatically syncs new transactions from Xero every 10 minutes. If you need to sync immediately:

  • Open the Client Task panel in the workspace
  • Click the Actions icon (โ‹ฏ) at the top
  • Select Sync transactions from Xero to bring in the latest Spend Money transactions from your designated account

If a transaction isn't appearing in Client Hub, it may be due to the transaction date:

  • Transactions must be dated after the Xero-to-Client Hub connection was established
  • This is especially important for transactions created from the bank feed โ€” they won't sync if they're dated before the connection date

๐Ÿงช How to Test the Connection

To confirm your Xero connection is working properly:

  • In Xero, do not use a bank feed to test the sync
  • Instead, click the + icon and manually create a Spend Money transaction
  • Make sure the transaction is assigned to your target account (the one selected in Client Hub)
  • In Client Hub, open the Client Task panel and click the Actions icon (โ‹ฏ)
  • Select Sync transactions from Xero to pull the transaction into the workspace

If the transaction appears in Client Hub, the integration is working as expected.
