πŸ“ Undestanding The Client Hub File Manager

A simple, organized way to manage, store, and share files with your clients and your team.

Client Hub’s File Manager provides a centralized location to keep your documents organized and accessible. it’s a powerful tool for delivering files to clients and accessing internal documentation.

πŸ—‚οΈ File Manager Overview

The File Manager is divided into several key sections:

1. Folders

  • Client Shared Folder
    • Accessible by both your team and your clients.
    • Files in this folder and its subfolders can be viewed and downloaded by any workspace user.

      Internal Folders

    • Visible only to your internal team (clients do not have access).
    • Great for storing internal reference documents or working papers.

2. Buckets

Buckets temporarily store files uploaded through various parts of Client Hub until you move or organize them.

  • Easy Upload

Files added via the Easy Upload button. You can rename them and move them into a Client Shared folder.

  • Message Files

Files shared in the Conversations panel. These can also be renamed and moved.

  • Client Task Files

Files submitted by clients in response to a Client Task. Can be renamed and organized.

  • eSignature Docs

View or initiate eSignature requests through our SignWell integration.

πŸ“‚ Working With Client Shared Folders

Client Shared Folders are ideal for delivering documents to clients.

  • You can create a custom folder structure.
  • Upload files directly to any folder (by either your team or the client).
  • Accountants can move, rename, or delete files.
  • Preview or download all documents

πŸ” Working With Internal Folders

Internal Folders are for accountant use only and are never visible to clients.

  • Create custom folders (also sorted alphabetically).
  • Only accountant users can upload, move, or delete files here.
  • Previews are available for most document and image formats; unsupported file types require download.

πŸ’‘ Best Practices

  • Work locally, share intentionally: Use local or cloud-synced platforms (e.g., Dropbox, OneDrive) for active editing. When ready to share a final version, upload it to Client Hub.
  • Keep files organized: Move documents from Buckets (e.g., Client Tasks or Messages) into structured folders for long-term storage.
  • Rename for clarity: Give files clear, descriptive names before sharing or organizing.

πŸ“ Summary

The Client Hub File Manager helps streamline how your firm exchanges and manages documents with clients, improving efficiency and reducing email clutter. It supports secure file sharing, internal document storage, and simple tools to rename, preview, and organize files β€” all in one place.
