🧾 How to Set Up and Import Client Accounts and Client Contacts in Client Hub


Client Hub streamlines the process of managing client information by allowing you to set up and import client accounts efficiently.


1️⃣ Understand the Client Hub Data Model

Client Hub organizes data into two primary components:

Clients: Represents the organization-level information, such as the company's name and business type.

Contacts: Individuals associated with the client organization, including details like name, email, and phone number.


✅ Before You Import Clients

Before importing clients, take a few minutes to confirm your Client Hub setup is configured the way you want it. This helps ensure new client workspaces are created with the correct structure and information.

Customize Client and Contact Fields

  1. Navigate to Setup & Settings in the left menu.
  2. Under Client Setup, select Client Fields to add or modify fields for client organizations.
  3. Select Contact Fields to customize fields for individual contacts.

Note: You can define field types such as Text, Number, or Select (dropdown with preset options).

Set Up Your Default Folder Structure (If Applicable)

If you plan to use a standard folder structure for client workspaces, configure your default folders before importing clients. This ensures that each newly created client workspace will automatically include the desired folder layout.

Taking these steps first helps avoid the need to manually update client workspaces after they have already been created.

3️⃣ Prepare Your Import Files

Client Hub supports importing data via CSV files:

Client CSV File: Each row should represent a different client organization with relevant details.

Contact CSV File: Each row should represent an individual contact, including a "Client Company" field to associate the contact with the appropriate client.

4️⃣ Import Clients and Contacts

To import your prepared CSV files:

  1. Go to Setup & Settings > Add Clients > Import Clients.
  2. Follow the prompts to upload your Client CSV file.
  3. Repeat the process to upload your Contact CSV file.

Each imported client will have a workspace created in the "Clients and Workspaces" area.

⏱️ Note: Depending on the volume of clients being imported and current server availability, it may take some time for all client workspaces to appear in the "Clients and Workspaces" area. If it has been a significant amount of time and the workspaces have not appeared, please reach out to support using the in-app help.

💡 Tip: If you are importing a very large number of clients, it may help to:

  • Test the process first by importing 2–3 clients.
  • Import the remaining clients afterward.
  • Split very large lists into smaller import batches.

This approach can help ensure your data is formatted correctly and may make large imports easier to process.


5️⃣ Invite Clients to Their Workspace

After importing:

  1. Navigate to the Client Details tab under the company name in the Client Workspace.
  2. Click the Add Client User button.
  3. Enter the user's name and email address, then click Invite Client User.

The client will receive a welcome email with a link to log in and set up their password.


By following these steps, you can efficiently set up and manage client accounts within Client Hub, ensuring a streamlined experience for both your team and your clients.
