🗃️ Archive or Restore a Client Workspace in Client Hub

Audience: Firm Users

Purpose: Help Firm Users archive or restore Client Workspaces in Client Hub.


🧾 Overview

Client Hub allows Firm Users to archive Client Workspaces that are no longer active, keeping the My Client List panel organized. Archived Client Workspaces can be restored at any time.


📂 Where to Manage Client Workspaces

Client Workspace assignment and status are managed inside My Client List.

You can access the archive and restore controls by:

  1. Opening Client Hub
  2. Selecting My Client List from the left navigation
  3. Selecting a Client Workspace to open its details view

📁 Understanding Workspace Status

Client Workspaces are categorized into two status tabs:

  • Active — Workspaces currently in use
  • Archived — Workspaces not currently active but retained for records

You can switch between Active and Archived using the tab selector above the workspace list.


🗃 How to Archive a Client Workspace

To archive a workspace that is no longer active:

  1. Open Client Hub
  2. Select My Client List from the left navigation
  3. In the Active tab, select the workspace you want to archive
  4. In the workspace details panel, scroll to the bottom
  5. Select Archive Workspace

After archiving:

  • The workspace will move from Active to Archived
  • All workspace data remains stored and accessible

♻️ How to Restore a Client Workspace

Archived workspaces can be restored at any time.

To restore:

  1. Open Client Hub
  2. Select My Client List from the left navigation
  3. Select the Archived tab
  4. Choose the workspace you want to restore
  5. In the workspace details panel, scroll to the bottom
  6. Select Restore Workspace

After restoring:

  • The workspace will move from Archived back to Active

🖥️ What You'll See in Workspace Details

When viewing a Client Workspace, the panel includes:

  • Client Info (Workspace Name, Logo, Tags)
  • Client Details (Company Name, Entity Type, Fiscal Year End, Website, Tax Info, etc.)
  • People (Client Users and Staff)
  • Contacts
  • Archive Workspace or Restore Workspace action (based on current status)

The Archive Workspace or Restore Workspace button appears at the bottom of the details panel.


💡 Tips

  • Use Archived status for clients that may return without deleting their data
  • Use the Search field in My Client List to quickly locate a workspace
  • Tags can be used to categorize clients (e.g., “Monthly”, “Payroll”, “Seasonal”)

❓ FAQs

Does archiving remove client data?

No. Archiving keeps the workspace intact and accessible for future use.

Can clients access archived workspaces?

Client access depends on user settings, but typically archived workspaces are not actively used for communication.

Can archived workspaces be deleted?

Not at this time. Archiving keeps records without permanent removal.
