Glossary - Common Terms Used In Client Hub

This glossary explains common terms used in Client Hub. Understanding these terms will help Firm Users navigate the platform and manage client workspaces effectively.


๐Ÿ‘ฅ Users & Access

๐Ÿ‘ค Firm User

A member of your firm who uses Client Hub to manage client workspaces, tasks, files, and communication.

Firm Users can access and manage:

  • Client Workspace
  • Internal Workspace
  • File Manager
  • Client Tasks
  • Jobs
  • Conversations
  • Client Details

Firm Users create tasks, communicate with clients, organize documents, and manage workflows related to each client.


๐Ÿ‘ค Client User

A person from the client company who has access to a Client Workspace.

Client Users can:

  • Respond to Client Tasks
  • Upload requested files
  • Send messages in the Conversation panel
  • Access shared files, apps, and resources

Client Users cannot access the Internal Workspace or internal firm information.


๐Ÿง‘โ€๐Ÿ’ผ Client

The term client is commonly used by Firm Users but may refer to two different things in Client Hub:

โ€ข Client Workspace โ€” the workspace representing a client company

โ€ข Client User โ€” a person who has access to that workspace

When performing actions such as removing a client, confirm whether the action applies to the Client Workspace or a Client User.

๐Ÿข Client Workspace

A workspace representing a client company where Firm Users and Client Users collaborate.

A Client Workspace typically includes:

  • Client Tasks
  • Conversation panel
  • Files
  • Apps
  • Resources

Navigation:

My Client List โ†’ Select Client


๐Ÿข Internal Workspace

A workspace that is only visible to Firm Users.

The Internal Workspace is used for internal collaboration and work management related to a client.

It typically includes:

  • Jobs
  • Notes
  • Email records
  • Pinned items

Client Users cannot see or access the Internal Workspace.

๐Ÿ“‚ Archived Workspace

A Client Workspace that has been archived because the firm is no longer actively working with that client.

When a workspace is archived:

  • Client Users lose access
  • The workspace moves to the Archived tab
  • Firm Users can still access historical data

๐Ÿ“‹ Tasks & Work Management

โœ… Client Tasks

Tasks created by Firm Users for the client to complete inside the Client Workspace.

Client Tasks may include:

  • Questions for the client
  • File requests
  • Meeting requests
  • Action items requiring client input

Client Users can respond directly within the task.

๐Ÿงพ QuickBooks Items

A task card that appears in the Client Workspace when QuickBooks is connected to that workspace.

This card highlights accounting items that require client input or review.

Examples may include:

  • Uncategorized transactions
  • Missing information
  • Items requiring clarification

๐Ÿงพ Xero Items

A task card that appears in the Client Workspace when Xero is connected to that workspace.

This card identifies accounting items requiring client input related to Xero data.

๐Ÿ—‚ Jobs

Internal work organized and tracked by Firm Users inside the Internal Workspace.

Jobs help firms manage workflows and may include:

  • Internal tasks
  • Client Tasks
  • Due dates
  • Progress tracking

๐Ÿ“Š Jobs Dashboard

A dashboard used by Firm Users to monitor and manage jobs across multiple client workspaces.

The Jobs Dashboard provides visibility into:

  • Work progress
  • Deadlines
  • Workload across clients

๐Ÿ’ฌ Conversation Panel

The messaging area where Firm Users and Client Users communicate within a Client Workspace.

Messages may include:

  • Questions
  • Updates
  • File attachments
  • Links

๐Ÿ“ Files

Documents stored or shared within a Client Workspace.

Files may be uploaded by:

  • Firm Users
  • Client Users

Files can be uploaded through:

  • Client Tasks
  • Conversations
  • File upload options in the workspace

๐Ÿ“‚ File Manager

A structured document management area where Firm Users organize files using folders.

The File Manager helps maintain organized document storage for each client.

๐Ÿ”Œ Apps

Shortcuts to third-party applications, tools, or websites used by that specific Client Workspace.

Apps act as bookmarks, allowing both Firm Users and Client Users to quickly access external systems related to the client.

Examples may include:

  • QuickBooks
  • Xero
  • Dext
  • BILL

These links do not integrate or sync data with Client Hub. They simply provide convenient access to external tools used for that client.

Helpful links, documents, or reference materials shared with clients inside the Client Workspace.

Resources may include:

  • Training materials
  • Instructional guides
  • Reference documents

The panel in the left navigation that displays all client workspaces available to the firm.

Tabs may include:

A button used by Firm Users to create a new Client Task within a Client Workspace.

Client Tasks may request information, request files, or ask the client to complete an action.

A section where Firm Users manage information and settings for a Client Workspace.

Client Details may include:
