π Managing Client Passwords with the Password Vault
The Password Vault allows your firm to securely store login credentials and other sensitive information for each client. Password entries are saved within the clientβs workspace so your team can easily access them whenever they need them.
This makes it easy to keep important credentials organized, secure, and tied directly to the correct client.
π Password Vault Permissions
Access to the Password Vault is controlled through role permissions.
Subscribers and Admins always have access to client password vaults. For Manager and Staff roles, access can be enabled or disabled in Role Permissions.
To manage this setting:
- Navigate to Settings > Roles.
- Locate the permission called Can Access Client Password Vaults.
- Toggle the permission on or off for the Manager or Staff roles as needed.
When enabled, users with that role will be able to view and manage password entries within the Password Vault section of the client workspace.
β Add a Password Entry
To store login credentials for a client:
- Open the client workspace.
- Navigate to Client Details.
- Scroll to the Password Vault section.
- Click Add Password.
Enter the credential information, such as:
- Website or System Name
- Username or Email
- Password
- Notes or Additional Details (optional)
- Click Save.
The password entry will now appear in the Password Vault section for that client.
ποΈ View a Stored Password
To access a saved credential:
- Open the client workspace.
- Navigate to Client Details.
- Scroll to the Password Vault section.
- Locate the password entry you want to access.
- Click the entry to reveal the stored information.
βοΈ Edit a Password Entry
If a login or password changes, you can update it anytime.
- Open the client workspace.
- Navigate to Client Details.
- Scroll to the Password Vault section.
- Find the password entry you want to update.
- Click Edit next to the entry.
- Update the information as needed.
- Click Save.
ποΈ Delete a Password Entry
If a credential is no longer needed, you can remove it from the clientβs vault.
- Open the client workspace.
- Navigate to Client Details.
- Scroll to the Password Vault section.
- Locate the password entry you want to remove.
- Click Delete next to the entry.
- Confirm the deletion when prompted.
π‘ Tip:
If you cannot see the Password Vault section in a client workspace, check that your role has the Can Access Client Password Vaults permission enabled in Settings > Roles.
