🕒 Out Of Office Messages
Use Out Of Office Messages to let Client Users know when your Firm is away and when they can expect a reply. Set one message from any Client Workspace, and Client Hub will show it across all Client Workspaces and in the Client Portal.
Only one Out Of Office Message can be set per Firm.
🕒 What Out Of Office Messages Do
Out Of Office Messages let you share one away message across all Client Workspaces.
The message appears at the top of the Conversation panel for Firm Users and in Messages for Client Users when they open the Client Portal.
Because the message applies to your whole Firm, you only need to set it once. Each Firm can have one Out Of Office Message active at a time.
👤 Who Can Set An Out Of Office Message
Firm Users can set, update, or clear an Out Of Office Message.
Client Users can see the message in the Client Portal, but they cannot set, edit, or clear it.
You can manage the message from any Client Workspace in the Conversation panel.
✍️ Set An Out Of Office Message
- Open any Client Workspace.
- Go to Conversation.
- Select the ⋯ menu.
- Under Actions, select Set Out-Of-Office Status.
- Enter your message.
- Select Save.
The Save button will be available after you enter a message.
You’ll also see a note in the modal letting you know the message will be shown in all Workspaces.


After you save, Client Hub confirms the message was saved and shows the banner at the top of the Conversation panel.

🧹 Clear An Out Of Office Message
When an Out Of Office Message is active, you can clear it from the same menu.
- Open any Client Workspace.
- Go to Conversation.
- Select the ⋯ menu.
- Under Actions, select Clear Out-Of-Office Status.
The message is removed from all Client Workspaces right away.

👀 How The Banner Looks
The Out Of Office banner appears above the chat in the Conversation panel and shows your full message.
You can hide the banner after you’ve read it. When hidden, a clock icon appears next to Conversation. Select the clock icon to show the banner again.
- For Firm Users, hiding the banner keeps it hidden while switching between Client Workspaces. The banner will appear again after refreshing the page.
- For Client Users, hiding the banner keeps it hidden while they stay in that Workspace. If a Client User has access to more than one Workspace, they’ll need to hide the banner in each Workspace.

The banner will show again automatically when the Out Of Office Message is updated or removed.
