📋 Creating and Sending Client Questionnaires (Beta)

Questionnaires let you collect structured information from your clients — including tax organizer details, onboarding information, or document requests — in one guided, step-by-step flow instead of a back-and-forth conversation. This article walks you through creating a questionnaire, either using AI to generate one from an existing tax organizer or building one manually, sending it to your client, and finding it again afterward.

📝 Note: Questionnaires is currently a Beta feature. You may see occasional rough edges as it continues to be refined — if something looks off, that's expected while this feature is in beta.


Before You Begin

  • If you plan to generate a questionnaire from a tax organizer, make sure the client's tax organizer document is already uploaded and saved in that client's workspace.
  • AI-generated questionnaires work from an uploaded tax organizer PDF only — this feature does not generate a questionnaire directly from a completed tax return.

Steps

  1. Open the client's workspace and go to Client Tasks.
  2. At the bottom of the Client Tasks panel, click Questionnaire (BETA).
  3. Choose how you'd like to build the questionnaire:

    a. Tax Organizer – Client Hub uses AI to generate a draft questionnaire based on an uploaded tax organizer. This is the recommended option if you're collecting tax-related information.

    b. Start from Scratch – Build a questionnaire manually, section by section. This works well for onboarding questionnaires, document requests, and other non-tax use cases.

  4. If you chose Tax Organizer:

    a. Give the questionnaire a name.

    b. Choose the source tax organizer file from the client's workspace.

    c. Click Generate to have Client Hub draft suggested questions and pre-filled answers based on the organizer (for example, breaking out sections for W-2s, stock sales, and other common tax topics).

  5. If you chose Start from Scratch:

    a. Give the questionnaire a name and add one or more sections. Sections can be repeated (useful for things like listing multiple dependents or properties) and given their own headings.

    b. Add questions to each section, choosing the answer type that fits: short text, long text, number, money, date, yes/no, single choice, multiple choice, dropdown, or file upload.

    c. Add a document request directly within a section if you need the client to upload a specific file as part of their response.

    d. Optionally, set up conditional logic so a question or section only appears based on how a client answered an earlier question (for example, showing a follow-up question only if they answered "Yes"). Conditions can be combined with AND/OR and nested up to three levels deep.

  6. Review the draft closely before sending it to your client.

    a. If you used Tax Organizer, check that fields pulled the correct information from the source document, and look for placeholder-style text or fields that don't quite make sense.

    b. Save your draft as you go — while client answers autosave once a questionnaire is sent, your edits while building do not save automatically.

  7. When you're ready, click Send to Client.

📝 Note: Once a questionnaire has been sent, its questions and recipient can no longer be changed. If you need to send the same questionnaire to a different client, create a new one instead — using a saved template is the fastest way to do this.

📝 Note: If sending doesn't go through, this is a known rough edge with the beta. Try again, and if the issue continues, reach out to support.


Finding a Questionnaire After Sending

  • Return to Client Tasks > Questionnaires in the client's workspace to check on a questionnaire's status.
  • A sent questionnaire appears under Open until the client completes it, then moves to All.
  • You can reopen a closed questionnaire from here if you need to review it or make changes.

Tips

  • Files a client uploads within a questionnaire (including document requests) follow the same path as other workspace files — you'll find them in File Manager and Recent Files. The file size limit is 150 MB per file.
  • Try the AI generation with a few different tax organizers to get a feel for how it performs — results can vary depending on the organizer's layout and content.
  • For quick, one-off requests that don't need multiple sections, a regular Client Task may still be the faster option.
