🔓 How to Resolve Reconciled Transaction Errors When Closing Xero Client Tasks
Last Updated: September 2026

📝 What This Covers
If you try to categorize and close a Client Task synced from Xero and see an error like "cannot be edited" or "not of valid status for modification," this article explains why it happens and how to resolve it. This is a Xero platform behavior, not a Client Hub connection issue, so it can come up even when your Xero integration is working normally.

🔍 Why This Happens
Once a bank transaction has been reconciled to a bank statement line in Xero, Xero locks that transaction from being edited or recategorized — whether the update comes from Client Hub or from within Xero directly. If the transaction behind a Client Task has already been reconciled, Client Hub won't be able to push your categorization through, and you'll see a validation error when you try to close the task.
📝 Note: This is expected Xero behavior and applies no matter which platform you're working from. It isn't specific to Client Hub.

✅ Steps to Resolve
- In Xero, locate the transaction connected to the Client Task showing the error.
- Open the transaction and click Options.
- Select Unreconcile.
- Return to Client Hub and try categorizing and closing the task again.
- Once the task closes successfully in Client Hub, go back into Xero and re-reconcile the transaction against the correct bank statement line.

💡 Tips
📝 Note: If the transaction is already accurately categorized on the Xero side, you don't need to unreconcile it. You can simply consider the item resolved in Xero directly and leave the Client Hub task as is — the category conflict is what blocks the sync, not the accuracy of your books.
