🧠Setting Up and Using Meeting Intelligence with Zoom, Google Meet, and Microsoft Teams
Last Updated: October 2026
Meeting Intelligence uses transcripts from Zoom, Google Meet, and Microsoft Teams to create AI-generated meeting summaries and key takeaways in Client Hub. This article is for Firm Users and covers the setup your administrator may need to complete, the steps each meeting host follows, and how to test a meeting.
📝 Please note: Google Meet and Microsoft Teams are available now. Zoom is coming soon, so you can’t connect a Zoom account yet.
đź“‹ Before You Connect
Each Client Hub user connects their own meeting host account for each platform they use. Connecting one person’s account does not connect everyone in your firm.
- Zoom (coming soon): Each host needs Zoom Pro or higher, with cloud recording and audio transcription enabled. Turn on automatic cloud recording if you want meetings recorded by default.
- Google Meet: Each host needs a Google Workspace plan that supports meeting transcription. Your Google Workspace administrator must allow transcription, and transcription must be started during the meeting or set to start automatically.
- Microsoft Teams: Each host needs a work or school Microsoft 365 account that supports Teams transcription. Your Microsoft 365 administrator must allow transcription and access to meeting transcripts and attendance reports. Use scheduled meetings organized by the connected account.
📝 Please note: Connect before hosting your test meeting. For Google Meet and Teams, wait until Client Hub shows Connected. New meetings arrive after the platform has finished preparing the transcript. Connecting does not import your past meeting history. Older Zoom recordings and local recordings saved on a computer are not imported.
🔵 Set Up Zoom (Coming Soon)
📝 Please note: Zoom isn’t available in Client Hub yet, so you can’t connect a Zoom account right now. Your Zoom administrator can get your team’s Zoom accounts ready ahead of time using the steps below. The Connect Zoom steps apply once Zoom is available.
🛠️ Zoom Admin: Prepare Your Team’s Accounts
- In Zoom, enable cloud recording and audio transcription for each person who will host meetings.
- If appropriate for your firm, enable automatic cloud recording for those users. Lock these settings where Zoom allows it.
- Make sure users are allowed to authorize the Client Hub Zoom connection. If Zoom asks for admin approval, approve the app or contact your Zoom admin.
- Ask each team member to connect their own Zoom account in Client Hub using the steps below once Zoom is available.
đź”— Each User: Connect Your Zoom Account (When Zoom Is Available)
- Sign in to Client Hub with your Firm User account.
- Open Meeting Intelligence (Beta) from the left-hand menu. If you already see your meeting list, select the Meeting connections settings button.
- Select Connect Zoom.
- Sign in to Zoom if prompted, then review and approve the connection.
- Return to Client Hub and confirm your Zoom connection shows your Zoom email address.
🟢 Set Up Google Meet
🛠️ Google Workspace Admin: Prepare Your Team
- Confirm each host’s Google Workspace plan includes meeting transcription and that transcription is allowed for those users.
- Allow users to authorize the Client Hub connection. If your organization requires approval, review and approve the requested meeting and calendar access.
- Ask each host to connect their own Google account in Client Hub.
đź”— Each User: Connect Your Google Meet Account
- Open Meeting Intelligence (Beta) in Client Hub. If you already see your meeting list, select Meeting connections.
- Select Connect Google Meet.
- Sign in with the Google Workspace account you use to host meetings, then review and approve the requested access.
- Return to Client Hub and confirm your Google email address is shown and the status says Connected. If you see Activating event delivery..., allow time for activation before testing.
- Host a new Google Meet meeting with that account. Start transcription in the meeting controls, or confirm automatic transcription has started. End the meeting and allow Google time to generate the transcript.
For Google’s transcription controls and eligible plans, see Use Transcripts with Google Meet.
🟣 Set Up Microsoft Teams
🛠️ Microsoft 365 Admin: Prepare Your Team
- Confirm each host is using a work or school Microsoft 365 account with Teams transcription available and enabled.
- Allow Client Hub to access meeting transcripts and attendance reports. If Microsoft asks for administrator approval, complete that approval before users test the connection.
- Ask each host to connect their own Microsoft account in Client Hub.
đź”— Each User: Connect Your Microsoft Teams Account
- Open Meeting Intelligence (Beta) in Client Hub. If you already see your meeting list, select Meeting connections.
- Select Connect Microsoft Teams.
- Sign in with the work or school Microsoft account you use to organize meetings, then review and approve the requested access. Contact your Microsoft 365 administrator if approval is required.
- Return to Client Hub and confirm your Microsoft email address is shown and the status says Connected. Wait for activation to finish before testing.
- Schedule and host a new Teams meeting with the connected account. Start transcription from the meeting controls and confirm it is running. After the meeting ends, allow time for both the transcript and attendance report to become available.
For Microsoft’s transcription controls, see Start, stop, and download live transcripts in Microsoft Teams meetings.
🧪 Test a Meeting and Review the Results
- Connect the host account before the meeting starts. For Google Meet and Teams, confirm the connection status says Connected.
- Host a short meeting from that account. For a simple test, invite at least one other participant.
- For Zoom (once available), record to the cloud with audio transcription enabled. For Google Meet and Teams, make sure transcription is running. End the meeting and allow the platform time to process it.
- Open Meeting Intelligence (Beta) in Client Hub. When processing is complete, open the meeting to review its transcript, AI-generated summary, and key takeaways.
- If Client Hub cannot confidently match the meeting to a client workspace, look under Unassigned. This is expected for a test meeting without a matching client. The meeting owner can open it, choose a client workspace, and select Assign client.
📝 Please note: Meeting information stays firm-only until you explicitly select Share with client. Assigning a meeting to a client workspace does not automatically share it with the client. Review the summary and attendees before sharing.
Some Google Meet guests may be listed by display name only. Use Edit beside Attendees to identify them.
🔍 If the Meeting Does Not Appear
- Check the host account: The meeting must be hosted or organized by the account that user connected in Client Hub. Connecting another team member’s account does not cover your meetings.
- Check the connection: Open Meeting connections and review the email address and any status message. For Google Meet or Teams, wait for Connected. If you see Connection needs attention, review the error and reconnect after resolving any permission issue.
- Zoom (coming soon): Once Zoom is available, confirm the recording is in the Zoom cloud and an audio transcript is available. Local recordings and older recordings are not imported. If Zoom asks for admin approval, contact your Zoom admin.
- Google Meet: Confirm the host’s plan supports transcription, your administrator allows it, and transcription was started during the meeting. Check that Google has finished generating the transcript.
- Microsoft Teams: Use a scheduled meeting organized by the connected work or school account. Confirm transcription was started and that your administrator allows access to both transcripts and attendance reports. Client Hub may wait for the attendance report even after the transcript is ready.
- Allow processing time: Meetings are imported after the platform prepares the transcript; the AI summary follows. Check Unassigned as well as Client meetings.
- If a Connect button is unavailable: Read the message beside the platform and contact Client Hub support if it says the integration needs configuration. This is expected for Zoom until it is available. Your Google Workspace or Microsoft 365 administrator may also need to approve access or enable transcription.
If a meeting is listed with a failed sync, open it and use Retry meeting sync when available after fixing the issue. If the transcript is present but AI processing failed, use Retry AI when available.
